Free Receipt Maker
Use this free receipt maker to confirm that a client has paid: add what they paid for, the date, the payment method and the amount, then download a receipt PDF marked PAID. It runs in your browser with no account, and your details are not uploaded.
How to make a receipt online
Making a receipt takes a minute. The preview next to the form shows the receipt exactly as the PDF will look. It is a free online receipt maker, so it works on a phone, tablet or computer.
- Enter your business name, logo and contact details, then the name of the client who paid you.
- Check the receipt number and the receipt date. Numbers start with RCT so receipts are easy to tell apart from invoices.
- Fill in the date you were paid and how you were paid, for example bank transfer, card or cash.
- List the items or services the payment covers, with quantities, prices, any tax you charge and any discount.
- Enter the amount paid, or select Use the total, then download the PDF or print it.
If the client paid less than the total, the receipt shows the amount paid and the balance that is still due, so a part payment is recorded clearly.
What a receipt is, and how it differs from an invoice
A receipt shows the price of something that was bought and proves that it has been paid for. An invoice comes first and asks for payment; a receipt comes after and confirms it. The UK government puts it simply: an invoice is not the same as a receipt, which is an acknowledgement of payment.
That is why the receipt from this receipt generator carries a clear PAID mark, the payment date and the payment method, while an invoice carries a due date and payment terms. Both list the same items and the same total.
What to include on a receipt
- your business name and contact details, and your tax ID if you have one
- the name of the person or business who paid
- a receipt number and the date of the receipt
- what the payment was for, with quantities and prices
- any tax and discount, and the total
- the date of payment, the payment method and the amount paid
Taxes are entered by you: type the tax name and rate that apply to the sale, for example VAT 20% or GST 10%. The receipt maker does the sums but does not decide which tax rules apply to you.
Turn a paid invoice into a receipt
If you made the invoice with Prima Invoice, you do not need to type anything twice. Open the invoice in the invoice generator and select Make a receipt. The receipt keeps every line, tax, discount and the total, takes the invoice number with an RCT prefix, and fills the amount paid with the invoice total. Add the payment method and download.
The receipt also notes the invoice it came from as its reference, which helps you and your client match the two documents later.
Receipts for services, freelancers and small shops
Clients often ask for a receipt for their own records or to claim an expense. Freelancers use receipts after a bank transfer, cleaners and tutors after a cash payment, and small shops after a card payment taken in person. Keeping copies helps you too: the US tax agency lists receipts, together with invoices and paid bills, among the supporting documents a business should keep.
Every receipt you make here can be exported as a JSON file, so you can keep a copy of the editable version next to the PDF and reopen it later on any device.
Private by design
The receipt is built in your browser. Names, amounts, your logo and your client details are not sent to our servers, and the draft you are working on is saved only in this browser. Use Export JSON to keep a copy and Clear form and saved data when you are done on a shared computer.
Cash, card, bank transfer and app payments
The payment method field is free text, so write it the way your client will recognise it. For a bank transfer, add the transfer reference or the date it cleared. For cash, simply write Cash; some sellers also note who received it. For a card taken in person, the card type is enough. Never print a full card number, a security code or a bank login on a receipt.
Payments through apps such as PayPal, Venmo, Wise or a mobile wallet can be named the same way, with the transaction ID if your client needs it for their own records. If one payment arrived in two parts, for example half by transfer and half in cash, write both methods in the field or make two receipts, one per payment.
Deposits, instalments and part payments
A receipt does not have to cover the whole bill. When a client pays a deposit, enter the deposit as the amount paid: the receipt then prints the total, the amount paid and the balance still due. That gives both of you a written record of what is outstanding, which helps when the final payment comes in weeks later.
For instalments, make one receipt per payment and keep the same items on each, so every receipt shows the running balance. A short note such as Instalment 2 of 3 makes the sequence obvious. When the last payment arrives, the balance due disappears and the receipt simply shows the amount paid with the PAID mark.
Receipt numbers and keeping copies
Give every receipt its own number. The receipt maker starts at RCT-0001; when you make a receipt from an invoice, it reuses the invoice number with the RCT prefix, so INV-0042 is paid by RCT-0042. Matching numbers make reconciling your bank statement much faster at the end of the month or the tax year.
Keep a copy of each receipt you issue. The IRS lists receipts among the supporting documents a business should keep, and most tax offices expect records that back up your income. Save the PDF in a folder per year, and export the JSON version next to it if you may need to correct and reissue the receipt later.
Rent, tuition, donations and other uses
Landlords use receipts to confirm rent, tutors and coaches to confirm lesson fees, and event organisers to confirm ticket or booth payments. Describe the period or the service on each line, for example Rent for March, Flat 2, so the receipt explains itself months later.
If a donor will use your receipt to claim a tax deduction, the charity rules of your country decide what the receipt must show, such as a registration number or a statement about goods received in return. Check those rules with the official charity regulator or tax office first. The receipt maker gives you the fields; it does not certify that a receipt meets any tax scheme.
Only for payments that really happened
A receipt is evidence that money changed hands, so it must be true. Use this tool only to record payments you actually received, in your own name or your business name. Making receipts for payments that did not happen, or copying the branding of another company, can be fraud, and Prima Invoice offers no templates that imitate other brands.
Why clients ask for a receipt
Employees often need one to be reimbursed by their employer, and companies attach receipts to expense reports and audits. Buyers keep them as proof of purchase for returns, warranties and insurance claims. Parents and students file them for tuition, and tenants keep them in case of a deposit dispute. A tidy, numbered PDF answers all of these needs at once.
Tax on a receipt
If you charge VAT, GST or sales tax, show it on the receipt the same way it appeared on the invoice: the tax name, the rate and the amount, plus your tax registration number in the Tax ID field. Some countries have stricter documents for this. In Australia, for example, a customer can ask for a tax invoice, and the ATO says it must be provided within 28 days unless the sale is $82.50 including GST or less. Check whether your receipt also has to meet such rules before relying on it.
Branding and layout
Upload your logo, choose one of four styles and the PAID mark appears in a matching position near the title. A receipt that looks like your invoices reassures the payer that it really came from you. Everything stays editable until you download, and you can download again after any correction.
- Classic: quiet gray header, good for formal records.
- Modern: violet header and total that stand out on screen.
- Minimal: thin rules only, ideal for black and white printers.
- Bold: dark top band for a strong, branded look.
Common receipt mistakes
- Leaving out the payment date, so nobody can tell which month the money belongs to.
- Writing a lump sum without saying what it paid for.
- Issuing two receipts with the same number, which confuses reconciliation.
- Rounding foreign currency amounts instead of recording the exact figure received.
- Forgetting to note a refund or chargeback later; issue a correcting document and keep both copies.
A minute spent checking these details saves hours when your accountant, an auditor or the client asks a question next year.
Digital or paper receipts
A PDF receipt is quick to send, impossible to lose in a drawer and easy to search later. Paper still matters at markets, pop-up stalls, home visits and wherever the payer has no email. In those cases, fill the receipt in on your phone, print it on the spot with a portable printer, or email the PDF the same evening.
Whichever format you choose, the content is identical. Your customer gets a legible, branded confirmation, and you keep a matching digital copy for bookkeeping, VAT returns or year-end accounts.

Receipt maker FAQ
Is the receipt maker free?
Yes. You can create and download receipts without an account or a card. Free PDFs have a small Made with Prima Invoice link in the footer.
Can I make a receipt for a partial payment?
Yes. Enter the amount you actually received. The receipt then shows the amount paid and the balance still due.
Can I add tax to a receipt?
Yes. Add up to two taxes with your own name and rate, or a different rate on some lines. The receipt maker does not look up tax rates for you.
What payment methods can I show?
Any method you type, such as bank transfer, card, cash, cheque or a payment app. The method is printed on the receipt next to the payment date.
Is my information stored online?
No. Your receipt stays in your browser and the PDF is made on your device. You can export a JSON copy or clear the saved draft at any time.
Can I add my logo to the receipt?
Yes. Upload a PNG, JPG or WebP logo up to 2 MB. SVG files are not accepted.
Can I make a receipt in another currency?
Yes. Pick any ISO 4217 currency. Amounts use the right number of decimals for that currency, for example none for Japanese yen and three for Bahraini dinars.
How do I print a receipt?
Select Print. Only the receipt appears on paper; the form and buttons are hidden. Choose A4 or US Letter in the print dialog.
Can I edit a receipt after downloading it?
Yes. The draft stays in this browser, so change it and download again. Export a JSON copy if you may need to edit it on another device.
Does a receipt need line items?
At least one line is needed so the receipt says what was paid for. For a single payment, one line such as Payment for invoice INV-0042 with quantity 1 is enough.
Can I sign the receipt?
There is no signature field. Type the name of the person who received the payment in the notes, or print, sign and scan the receipt if your client needs a handwritten signature.
Do you keep a copy of my receipts?
No. Prima Invoice never receives them, so only you have the PDF and the JSON file. Back them up like any other business record, for example in cloud storage or an external drive.
Can I issue a receipt for a refund?
A refund is better recorded with a separate correcting document, such as a credit note, which Prima Invoice does not make yet. Meanwhile, describe the refund clearly in a new receipt or letter, mention the original number, and keep both copies together.
Which languages does the receipt support?
Labels such as Receipt, Paid on and Amount paid are in English. Names, descriptions and notes accept accented Latin letters, Greek, Cyrillic and Vietnamese, and the PDF embeds the fonts to display them. Scripts such as Chinese or Arabic are not in the PDF fonts yet: the download warns you, and printing from the browser keeps them.
